Payment Provider RFP Questionnaire

A list of logos is not a provider strategy. Compare candidates using the same questions and document what is confirmed, conditional or pending.

How to use it

Use the same question set for each candidate. Mark each answer Confirmed, Conditional, Pending or Unavailable and retain evidence or the source of the answer.

Coverage and eligibility

  1. Which countries, entities, verticals and merchant domiciles do you accept?
  2. Which methods, currencies and settlement currencies/assets are actually supported for this use case?
  3. Which restrictions depend on underwriting or jurisdiction?

Underwriting and compliance

  1. What KYB/KYC and source-of-funds/source-of-business documentation is required?
  2. Which verticals, business models or geographies are restricted?
  3. Which changes can trigger review, limits or suspension?

Integration

  1. Which API, hosted checkout, cashier, webhooks, SDKs or plugins are available?
  2. How are idempotency, retries, timeouts and asynchronous statuses handled?
  3. Is there a representative sandbox and versioned documentation?

Performance

  1. Which metrics are provided by market, method and decline cause?
  2. How are soft declines, hard declines and technical errors distinguished?
  3. What routing or smart-retry tools exist without creating duplicates?

Settlement and treasury

  1. What are the frequency, currency/asset, minimums, cutoffs and funds route?
  2. Which fees, FX/spread, reserves or security requirements apply?
  3. How do terms change by volume, risk or jurisdiction?

Reporting and reconciliation

  1. Which IDs connect transaction, refund, chargeback, payout and settlement?
  2. Are reports available through portal, API, SFTP or another channel?
  3. How are fees, adjustments, reversals and differences represented?

Support and operations

  1. Who handles critical incidents and what is the escalation path?
  2. Which SLAs exist and which are contractual?
  3. How are maintenance, outages and product changes communicated?

Resilience and continuity

  1. What critical dependencies exist on acquirers, banks, networks or third parties?
  2. What options exist if a route or method becomes unavailable?
  3. How are recovery and continuity tested?

Commercial and contract

  1. Are pricing, reserves, minimums, limits and payout/settlement timing confirmed in writing?
  2. Which conditions can change after onboarding?
  3. Which notice, termination, hold or release terms apply?

Do not compare pricing alone

A lower MDR can be irrelevant if the provider does not cover the right market, has poor acceptance, incompatible settlement, insufficient reporting or a critical operating dependency. Compare total cost and operating fit.
